Academy - How do I create a new appointment type?

This article will show you how to set up your appointment types in the Academy. The options are "regular" and "group". Both options are shown below in a step-by-step guide.

Regular

This step-by-step guide shows you how to set up a "regular" appointment type. This means that it can be used for private appointments. 

  • Go to Academy > Settings > Appointment Types and click “Add Appointment.”
  • Enter a name and description for the appointment type. This information will be visible to clients when they book and will also appear in the confirmation email.
  • If this is a resource appointment type: switch Resource appointment ON and select the appropriate resource(s) for this appointment type. Otherwise, keep this off.
  • Set the Type to Regular (this creates a private appointment). Then choose the duration (e.g., 60 minutes) and, if desired, assign it to a folder.
  • Select any required packages/memberships—clients will only be able to book this appointment if they have the specified package or membership.
  • Finally, set the price and color for the appointment type. Choose whether the appointment type should be visible to clients for booking or kept internal so only you can schedule it.

If this appointment type also rewuires a resource to be blocked, you need to add this after the appointment type is saved. Reopen it and the Resource button will appear.


Group

This step-by-step guide shows you how to set up a "group" appointment type. This means that it can be used for private appointments. 

  • Go to Academy > Settings > Appointment Types and click “Add Appointment.”
  • Enter a name and description for the appointment type. This information will be visible to clients when they book and will also appear in the confirmation email.
  • If you are using a Resource: switch “Resource appointment” ON and select the appropriate resource(s) for this appointment type. Otherwise, keep this off.
  • Set the Type to Group. The group appointment feature allows you to schedule the session in your agenda first, and then clients can register themselves. You control the minimum and maximum number of participants, ensuring the lesson only takes place within the limits you set. After this, choose the duration (e.g., 60 minutes) and, if desired, assign it to a folder.
  • Select any required packages/memberships—clients will only be able to book this appointment if they have the specified package or membership.
  • Finally, set the price and color for the appointment type. Choose whether the appointment type should be visible to clients for booking or kept internal so only you can schedule it.
