Academy - How do I create a package?

This article will show you all different package types and how to set them up.

 

A package is a way to offer a client a special deal. For example, 5 lessons for the price of 4. Packages are assigned to individual clients and cannot be shared between clients. If you want multiple people to use the same package, create a client group and assign the package to the group leader. This allows you to book all group members under the same package.

 

Stamps (time for time)

The Stamp package is designed for minute-based usage rather than session-based. Each time an appointment type is scheduled, the appropriate number of minutes is subtracted from the total minutes in the package. This makes it easy to see how many minutes remain for each client.

  • Go to the Academy > settings > packages. Select "Add package"
  • Start by filling out the package name and description
  • Select "Stamps (time for time)". This package is built so that as appointments are booked, the system counts the remaining minutes in the package down, until it reaches 0 and the package is completed
  • Select the appointment types allowed on the package. This means these appointment types can be booked with the package. Set the recommended price (normal price of the lessons) and the actual price (package price)
  • Continue by setting the validation and start date, and finish by choosing wether or not this package is available for clients (meaning being available for purchase), and if bookings can be shared over pros

 

Currency

The Currency package works similarly to the Stamps package, but instead of tracking minutes, it tracks a total monetary amount. Set the total value of the lessons based on your appointment type prices. As lessons are booked, the package balance decreases, with the appropriate amount deducted each time.

  • Go to the Academy > settings > packages. Select "Add package"
  • Start by filling out the package name and description
  • Select "Currency". The Currency package operates similarly to the Stamps package, except it tracks a monetary balance rather than minutes. Choose the total amount you want the package to cover based on your appointment type prices. When lessons are booked, the system deducts the appropriate cost from the remaining balance
  • Select the appointment types allowed on the package. This means these appointment types can be booked with the package. Set the recommended price (normal price of the lessons) and the actual price (package price)
  • Continue by setting the validation and start date, and finish by choosing wether or not this package is available for clients (meaning being available for purchase), and if bookings can be shared over pros

 

Subscription limited

The Subscription limited package is designed to give you control over how many lessons clients can book. It allows you to set limits on the number of lessons they can schedule per week or month. This is a great option for managing client schedules and ensuring availability for all clients. 

  • Go to the Academy > settings > packages. Select "Add package"
  • Start by filling out the package name and description
  • Select "Subscription limited". The Subscription Limited package allows you to set how many lessons clients can book. You can choose weekly or monthly limits to suit your schedule. It helps prevent overbooking and keeps things running smoothly
  • Select the appointment types allowed on the package. This means these appointment types can be booked with the package. Set the recommended price (normal price of the lessons) and the actual price (package price)
  • Continue by setting the validation and start date, and finish by choosing wether or not this package is available for clients (meaning being available for purchase), and if bookings can be shared over pros

 

Subscription unlimited

Subscription Unlimited works similarly to Subscription Limited, but with a key difference. Instead of limiting lessons per week or month, Subscription Unlimited lets you set the maximum number of upcoming lessons a client can book. This gives you control over how far in advance clients can schedule multiple lessons. They can book new lessons as they complete existing ones, giving you control over how far ahead they can schedule.

  • Go to the Academy > settings > packages. Select "Add package"
  • Start by filling out the package name and description
  • Select "Subscription unlimited". Subscription Unlimited functions much like Subscription limited, with one main difference: it sets a maximum number of upcoming lessons rather than a weekly or monthly limit. This allows clients to book new lessons as they finish previous ones, while still giving you control over advance scheduling
  • Select the appointment types allowed on the package. This means these appointment types can be booked with the package. Set the recommended price (normal price of the lessons) and the actual price (package price)
  • Continue by setting the validation and start date, and finish by choosing wether or not this package is available for clients (meaning being available for purchase), and if bookings can be shared over pros

 

Specific appointments

As the name suggests, Specific Appointments is ideal for certain types of appointments. When assigning appointment types to the package, you can not only select which types are allowed, but also set the number of times each can be booked. This makes it perfect for packages that include a set number of different appointment types. This allows you to create packages with a specific combination of appointments.

  • Go to the Academy > settings > packages. Select "Add package"
  • Start by filling out the package name and description
  • Select "Specific appointment". Specific Appointments is designed for packages that include certain appointment types. You can assign which appointment types are allowed and specify the number of times each can be booked. This is perfect for creating packages that combine a set number of different appointments
  • Select the appointment types allowed on the package. This means these appointment types can be booked with the package. Since this is a "Specific appointment" package, make sure to select the amount of times the appointment types can be booked. Set the recommended price (normal price of the lessons) and the actual price (package price)
  • Continue by setting the validation and start date, and finish by choosing wether or not this package is available for clients (meaning being available for purchase), and if bookings can be shared over pros

 

Once you have created a package, you cannot change the package type. When wanting to change this, create a new package.
