Create a new membership
Once you have created a membership, you can proceed to configure its features and benefits, such as the number of bookings allowed and options for automated payments etc. Please note that you are not required to enable all the features listed below; you only need to select the ones you wish to apply to the membership you are setting up.
Set your booking conditions
With the booking conditions, you can set membership-specific booking conditions that overrule your general conditions. The following settings are available:
- Allow cancellation and cancellation period
- Restricting future bookings
- Restricting short-notice bookings
Set your booking rules and periods
Your booking rules are the heart of your memberships. These settings will mostly decide how and what your members are allowed to book.
- Period
This sets the period for which your booking settings apply. (This is not necessarily the same period as the pricing) For example, if you want your booking settings to be reset every month, you set the period to Monthly
The booking settings below can be used as a combination of settings or on their own. It's not mandatory to set all of them.
- Total appointments
This lets you decide how many appointments can be booked during the selected period. The system will not look at the duration or other criteria. (In our example, setting this to 2 will allow two appointments per month) - Total minutes
This lets you decide how many minutes can be booked during the period. This can be used to allow appointment types with different durations, but still ensure a maximum. (For example, you can allow 60 and 120-minute appointment types, but set the max number of minutes to 120. This makes sure the member can book two 60-minute appointment types but only one 120-minute) - Number in advance
This lets you decide how many appointments the member can book in advance. With this set to 1, the member can only book one appointment at a time and must wait for their booking to complete before they can schedule a new appointment in the current period. - Apply for appointments
This lets you set the appointment types on which these booking settings apply. - Apply for agendas
This lets you set the schedules on which these booking settings apply
You can create multiple booking rules within the same membership and assign days and times to each of them.
- Times
Booking rules can be assigned to specific days and times. This makes sure you can create different booking rules for peak and off-peak periods, for example. An example could be that you allow only two bookings per month on the weekends and peak hours, but allow ten bookings per month in off-peak hours.
If you do not set a time period, the booking settings apply 24/7.
Booking rules work in order from top to bottom. When a client makes a booking, it will first look at the top rule and if it doesn't apply, it will move down to the second, etc.
When no rules apply, the system will check for discount settings.
Set discounts
Within a membership, you can assign discounts to specific appointment types and packages. These can work in combination with booking rules or independently.
Discounts will be applied when the selected appointment type does not fall into any booking rules within the membership. With this option, you can give members a number of bookings in off-peak times and a discount during peak times, for example.
Set automated pricing
To activate automated pricing, you need to link your Stripe account to the academy first
You can create multiple prices per membership. (For example, Monthly and yearly) You can set different variables that decide your membership price:
- Currency
Set the currency you want to charge your customers with - Unit amount
The price for the membership per selected period/interval - Nickname
This is the name that will show on the client side for this specific price plan. For example, Monthly - Interval
At what interval period is the price charged (Weekly, Monthly, or yearly) - Interval count
Per how many intervals is the price charged to the member. For example: An interval set to monthly and an interval count set to 3 will charge the member every 3 months for teh set amount.
